Have you ever received a PDF of a contract only to discover that none of the information is searchable? Often times you discover it after loading the document into your contract management system. Typically, your only option at this point is to scan the document and create an OCR layer. Then, reload the contract into your contract management system. Time and frustration for sure. Those concerns have now been eliminated with the Contract Guardian automatic detection and creation of the OCR layer.
Several clients have mentioned that they always make their contracts searchable pdf when it is on their paper. However, it is not unusual to receive a contract from outside their organization that is image only. This requires them to print a paper copy and scan before laoding into the syustem to make it searchable. That process and concern are now a thing of the past.
Wikipedia describes Optical Character Recognition (OCR) as follows: mechanical or electronic conversion of images of typed, handwritten or printed text into machine-encoded text. Common use includes invoices, bank statements, computerized receipts, business cards, mail, printouts of static-data, or any suitable documentation. It is the most popular method of digitizing printed texts so that they can be electronically edited, searched, stored more compactly, displayed on-line, and used in machine processes such as cognitive computing, machine translation, (extracted) text-to-speech, key data and text mining.
